1. Overview
This policy explains how Shiboo Voice ("Shiboo," "we," or "us") handles information when you use the Shiboo Voice macOS app, website, account, subscriptions, and optional cloud features.
The important boundary is whether a feature runs locally or in the cloud. Local features do not send your voice or dictation to us. Cloud features send only the content needed to perform the action you requested.
2. Data on your Mac
Shiboo's default speech-to-text model runs on your device. During a local dictation, microphone audio is processed on your Mac to produce text and is not uploaded to Shiboo.
The app stores your dictation history and related details, snippets, personal dictionary, custom transform instructions, model files, and preferences in local app data. History may include the pasted text, target app name, language, model, duration, and word count. Clipboard and nearby insertion context are used transiently to paste and format text.
This local data remains under your control on the Mac. You can delete individual history entries or clear your history in the app. Removing the app may not remove every local support file; macOS storage and backup settings also affect local copies.
3. Data we receive
Account and authentication
When you create or use an account, we process details such as your name, email address, profile image, verification status, session tokens, IP address, browser or device information, and sign-in timestamps. If you use Google sign-in, Google provides the profile details needed to authenticate you.
Subscription and billing
Stripe processes payment details. We receive and retain identifiers and status needed to manage your subscription, such as a Stripe customer and subscription ID, plan, billing status, renewal period, and limited anti-abuse signals such as a card fingerprint. We do not receive or store your full card number.
Feedback and diagnostics
If you send feedback, we receive the message and category you choose. You may also include a redacted diagnostic bundle containing app and system metadata. Our feedback endpoint rejects transcript and audio fields.
Public contact form
If you use the website contact form, we receive the name, email address, topic, and message you provide. The website relays that information to our support inbox through Resend without writing a copy to Shiboo's application database. The resulting email remains subject to our inbox and email-provider retention.
Crash and service data
Desktop crash reporting is enabled by default and can be turned off in Settings. Reports may contain stack traces, app version, operating system, architecture, and technical error details, but are designed to exclude voice, dictation, instructions, snippets, clipboard text, and insertion context. The website collects similar content-free error and security data.
4. Optional cloud processing
Cloud features are off until you enable the relevant consent in Settings. Content is sent to Shiboo over an encrypted connection and then to the provider needed to perform your request.
Cloud transcription
Sends the current voice recording and technical request details to turn speech into text.
Cloud refinement
Sends the text being refined, its language and selected role, and a custom instruction when you use one.
Shiboo does not write cloud audio, transcript text, refined text, or custom instructions to its durable database, application logs, or error reports. We do store content-free usage records needed for quotas and reliability, such as request identifiers, language, processing mode, model and service versions, audio seconds, and word counts.
Cloud providers receive the content required to process the request. Their handling, including any provider-side retention, is governed by their terms and the service configuration; the Shiboo no-storage boundary does not mean the processing is end-to-end encrypted.
5. How we use data
- Provide local and optional cloud features you request.
- Authenticate accounts and keep sessions secure.
- Manage subscriptions, trials, quotas, and billing status.
- Deliver verification and password-reset messages and respond to feedback.
- Diagnose failures, prevent abuse, and maintain the security and reliability of Shiboo.
- Meet legal obligations and enforce our agreements.
We do not sell your personal information, use dictation content for advertising, or run third-party advertising analytics on the Shiboo website.
6. Service providers
We use specialized services to operate Shiboo. Depending on the feature and our current configuration, these may include:
- OpenAI for cloud text refinement, and ElevenLabs or OpenRouter for cloud speech-to-text.
- Stripe for checkout, subscriptions, and payment processing.
- Google for optional Google account sign-in.
- Resend for account, password-recovery, and contact-form email.
- Sentry for content-free crash and application error reporting.
- Infrastructure providers for application hosting, databases, and software downloads.
These providers process information under their own privacy terms and may process it in countries other than yours.
7. Retention
Local app data remains on your Mac until you delete it. Shiboo treats cloud voice and text content as in-flight data and does not retain it in Shiboo-controlled durable storage after processing.
We retain account, subscription, usage, security, feedback, and diagnostic records only as long as reasonably needed to provide the service, maintain security, resolve disputes, and meet legal or accounting obligations. Retention by a service provider may differ under that provider's policy.
8. Your choices
- Keep dictation fully local by leaving cloud transcription and cloud refinement disabled.
- Change cloud consent and crash-reporting choices in Settings.
- Delete individual history entries or clear app history.
- Decline the optional diagnostic bundle when sending feedback.
- Manage or cancel a paid subscription through the account billing portal.
The website uses essential cookies for sign-in, session security, and account features. Shiboo does not currently use advertising cookies or third-party marketing analytics.
9. Security
We use technical and organizational safeguards appropriate to the information we handle. Cloud traffic uses encrypted transport. Desktop access and refresh tokens are stored in the macOS Keychain, while server-side token copies are stored as cryptographic hashes. Access is restricted to systems and people that need it to operate the service.
No system is completely secure. You are responsible for protecting your Mac, account credentials, backups, and operating system access.
10. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information we hold, or to object to or restrict certain processing. You may also withdraw consent where processing relies on consent. We may need to verify your identity before completing a request.
Shiboo Voice is not directed to children under 16, and we do not knowingly collect personal information from them.
11. Contact and updates
To ask a privacy question or exercise a privacy right, open Shiboo Voice and choose Send feedback from the sidebar. Use the email address associated with your account and make clear that your message is a privacy request.
You can also submit a request through our contact page without installing the app. Mark the message as a privacy request.
We may update this policy as Shiboo evolves. If a change materially affects how we handle personal information, we will provide notice in the app, on the website, or by email as appropriate. The date at the top shows the latest revision.
